episode 6 collaborative notes in Microsoft Teams.
00:00:07 Joe Cole
Hello, welcome to another podcast. Welcome to the level up in 365 podcast. More precise where we are all talking about all things in 365 collaboration for admins, pros and CEOs. In some cases we.
00:00:22 Joe Cole
Sprinkle in a little.
00:00:23 Joe Cole
Bit more some of the topics we’re going to.
00:00:25 Joe Cole
Cover today is where the heck have?
00:00:27 Joe Cole
Been a minute since I’ve made a.
00:00:28 Joe Cole
Post. So we’ll give you.
00:00:30 Joe Cole
A brief explanation and update on some personal things. I’ll go over some of the things in the message center that stuck out to me as an intern.
00:00:38 Joe Cole
65 user and admin.
00:00:40 Joe Cole
I will go over the topic of the day which is talking about collaborative notes in Microsoft Teams. Some thoughts there some pros and cons, some therapy sessions, and then finally we’ll go over tip of the day. And this is a segment I don’t cover that often, but hopefully it will be useful. So let’s get into it.
00:01:02 Joe Cole
OK, so first going into where have I been? Well, my Last Post is a little over a month and it’s just been a minute few things going on with the move, a big move coming up. And then I had a lot of time off for Christmas and then my birthday in January. So I mean, this is kind of a.
00:01:22 Joe Cole
Hobby of me.
00:01:23 Joe Cole
So I just took some time off to get.
00:01:25 Joe Cole
To enjoy life and spend time with the family.
00:01:27 Joe Cole
Also read the fiction.
00:01:30 Joe Cole
History book man in the High Castle, which is a great read, I read, ask Iwata, which is the old president of Nintendo. It’s kind of a business book, but I’m into 90s and early 2000s gaming from a business perspective and as a as an old gamer. So it’s a bit definitely a good book if you’re in business.
00:01:50 Joe Cole
Into reading business books, or if you just like old, you know, retro gaming nostalgia. Very shortly you pick it up anywhere. So yeah, I think that’s all I have for where I’ve been. I plan on doing one post a month.
00:02:02 Joe Cole
I’ve also been very active on socials, so be sure to follow those if you know want to see what I’m actually.
00:02:09 Joe Cole
Doing in my day-to-day.
00:02:11 Joe Cole
OK, so let’s get into the message center radar. These are the updates coming to us down the pipeline that kind of stuck out to me scratch my own itch here with these. First one is MC 690924 collaborative notes in channel meetings.
00:02:31 Joe Cole
So this is a I’m going to be rolling out in what mid-april. Yeah. So it was going to be February, but they’re rolling it out in April. And here’s what’s going on, basically I’m I’m not going to read just yet.
00:02:44 Joe Cole
But you have your your legacy notes by now most people probably have. If you’re doing the using the new teams, you probably have your legacy notes replaced, which was just a static like exchange file. Like when you made meeting notes. The difference now is your meeting notes are going to be A and I’m I’m loosely quoting.
00:03:04 Joe Cole
But in the update, by the way, these updates will be in.
00:03:07 Joe Cole
The meeting notes, but.
00:03:09 Joe Cole
Your legacy Wiki note format from meeting notes is gone or going away. It used to reside on the SharePoint.
00:03:18 Joe Cole
Site I believe.
00:03:20 Joe Cole
Yeah, in the teams wiki data, Now this is going to reside God knows where. I don’t see it mentioned here, and that’s my biggest lament.
00:03:28 Joe Cole
About loop, we’ll get into that later, but now your meeting notes is going to be this cool little.
00:03:35 Joe Cole
Collaboration thing, it kind of sits in the panel on the right hand side of the meeting note and you can pop it out. And the nice part is it’s a real time. It’s a real time collaboration thing. So two big things that Luke does well, your new meeting notes, your collaborative notes in channel meetings and teams channel meetings is going to be a loop component.
00:03:54 Joe Cole
And in that
meeting in the pane and the window pane on the right hand side, you can pop it out. You can make notes. Other people can make notes, you can see changes being made in real time. So this is huge because I’m going to be able to see.
00:04:09 Joe Cole
What you’re saying as an admin is, if you have a meeting and I’m not in the meeting, I can go into that channel where the meeting was, I can click on that meeting and I can see.
00:04:20 Joe Cole
All of the notes as they were taken in real time. Also, the biggest part for me is I can comment on those notes as an admin or as a team member.
00:04:30 Joe Cole
So if I’m in a meeting and I’m watching these notes being taken and I disagree with the note or I want to expound on the note. I can do that without interrupting the meeting.
00:04:40 Joe Cole
And then if you’re a real jerk like me, you can also you know, you can, you know, say well this is wrong and just go delete it.
00:04:47 Joe Cole
So you know.
00:04:49 Joe Cole
Don’t don’t be a jerk like me, but you can do it if you want to.
00:04:54 Joe Cole
So that’s that’s really cool. And you can. It’s great for the end user experience because, you know, as long as your team members are actively engaged, if they’re actively engaged in the team’s window, they’re going to be in this meeting pane and they’re going to be able to see changes in real time. And that’s huge.
00:05:14 Joe Cole
In my opinion.
00:05:15 Joe Cole
For meetings, I think.
00:05:17 Joe Cole
The biggest complaint I had about teams.
00:05:20 Joe Cole
Was the notes experience.
00:05:22 Joe Cole
Because there wasn’t a good way to take notes in meetings. There wasn’t a good way to see the notes that were taken in meetings. The notes in meetings kind of stuck. And the reason for that is, is the notes experience was never updated or updated. Well, I should say it was never a focus of the teams team.
00:05:41 Joe Cole
I have no idea why that was a joke.
00:05:44 Joe Cole
But it’s being fixed now.
00:05:46 Joe Cole
So I’m really excited about this.
00:05:48 Joe Cole
And also it looks like you’re going to be able to do some other stuff with this.
00:05:53 Joe Cole
With these notes, like you’re going to be able to add images, you’re going to be able to add files.
00:05:59 Joe Cole
You’re going to be able to add gifs and stickers.
00:06:03 Joe Cole
This is cool because when you have a meeting and you’re sitting in that meeting and you’re having a conversation with someone, if you’re sitting in the room, you’re going to make a side comment or you’re going to bring up a picture or you’re going to bring up a file or you’re going to be like, hey, you know, here’s what I did on that last project.
00:06:18 Joe Cole
You know, let me show you a picture of it. Let me show you a file.
00:06:21 Joe Cole
Here’s a gif of a cat or a dog that’s funny.
00:06:25 Joe Cole
You know, so you can do that now.
00:06:26 Joe Cole
With your with your meeting notes.
00:06:28 Joe Cole
And that’s just huge, so I’m really excited about this. I mean, I can’t emphasize how big this is for meeting notes because it’s the one thing that’s.
00:06:38 Joe Cole
Bothered me about the team.
00:06:39 Joe Cole
Meeting experience.
00:06:41 Joe Cole
And this update. It’s a little it’s a little late in coming.
00:06:45 Joe Cole
But it’s going to be huge.
00:06:47 Joe Cole
So the next thing I want to talk about and I’m not going to.
00:06:49 Joe Cole
Cover in depth.
00:06:51 Joe Cole
It’s MC 69429, the custom link sharing and.
00:06:55 Joe Cole
In Office.
00:06:57 Joe Cole
SharePoint and.
00:07:00 Joe Cole
I don’t have much to say on this, except.
00:07:02 Joe Cole
That I’m really excited about.
00:07:04 Joe Cole
Custom link sharing and SharePoint because.
00:07:07 Joe Cole
Now I can.
00:07:08 Joe Cole
Basically you can take a link to a file or a folder.
00:07:12 Joe Cole
And you can make it a short link.
00:07:14 Joe Cole
And then you can do some other things with the permissions around that. You can make it a short link and it can be view only. You can make it a short link and it can be can edit, and I’m really excited about this.
00:07:27 Joe Cole
Because now.
00:07:28 Joe Cole
I can.
00:07:29 Joe Cole
When someone says, hey, you know, I need a short link to this file.
00:07:34 Joe Cole
That I don’t have to make them a view, only link to the file and have them copy it down. I can just make them a short link to that file and send it to them.
00:07:41 Joe Cole
And then when they click on it, it’s going to prompt them to sign in. So that’s that’s exciting.
00:07:48 Joe Cole
And then finally the last thing in the message center radar is MC.
00:07:53 Joe Cole
6 9 3 2 9.
00:07:57 Joe Cole
The new file sharing experience in Outlook on the web and.
00:08:02 Joe Cole
So I mean, again, I’m not I don’t use Outlook in the web.
00:08:06 Joe Cole
So I can’t really comment on this. I use Outlook client, but the file sharing experience in Outlook on the web and OneDrive for business is getting an update. It’s getting a visual overhaul, and this is good because the the experience is not great in the Outlook Web client.
00:08:26 Joe Cole
For file sharing. So.
00:08:29 Joe Cole
I’m all for updates in UI changes that make the experience better.
00:08:33 Joe Cole
So I’m looking forward to that.
00:08:35 Joe Cole
Alright, so let’s go into the main topic, which is collaborative notes in Microsoft Teams.
00:08:40 Joe Cole
So we’ve kind of talked about it a little bit.
00:08:42 Joe Cole
Already,
but I want to go a little bit more in depth on it.
00:08:46 Joe Cole
Because this is big.
00:08:47 Joe Cole
So it’s cool.
00:08:48 Joe Cole
Because it looks like it’s going to be based on OneNote.
00:08:51 Joe Cole
So the notes are going to be.
00:08:53 Joe Cole
Saved in the chat.
00:08:55 Joe Cole
So if you have a team that’s set up, you’re going to go into the channel and you’re going to start a meeting.
00:09:00 Joe Cole
You’re going to go into that channel. You’re going to click on the meeting and then the notes are going to show up on the right hand side. And.
00:09:08 Joe Cole
You’re going to be able to collaborate on those notes in real time.
00:09:11 Joe Cole
So that’s that’s cool, because I like OneNote.
00:09:14 Joe Cole
I use it every day. I’m using it right now to take these notes.
00:09:18 Joe Cole
So I’m really excited about that.
00:09:20 Joe Cole
The other thing I’m excited about.
00:09:22 Joe Cole
Is you’re going to be able to access these notes after the meeting.
00:09:25 Joe Cole
So again, if you’re an admin or a team member and you weren’t able to make the meeting or you missed the meeting, you can still go into that channel, click on the meeting and see the notes that were taken in real time.
00:09:36 Joe Cole
So that’s cool. The other thing that’s cool is you can access the notes from the meeting chat.
00:09:41 Joe Cole
So if you’re having a conversation with someone and you need to refer back to the notes that were taken in that meeting.
00:09:46 Joe Cole
You can just click on the meeting chat and the notes are going to show up there.
00:09:51 Joe Cole
So that’s really cool.
00:09:53 Joe Cole
And I think that’s all I had on that.
00:09:55 Joe Cole
I mean, I’m really excited about this.
00:09:57 Joe Cole
I think it’s going to be big.
00:09:58 Joe Cole
I think it’s going to be.
00:10:00 Joe Cole
A game changer for teams.
00:10:02 Joe Cole
So I’m looking forward to that.
00:10:04 Joe Cole
Alright, so that’s all I had on that.
00:10:05 Joe Cole
So let’s go into Q and A.
00:10:07 Joe Cole
I see we have a couple of questions here.
00:10:09 Joe Cole
Let’s see.
00:10:10 Joe Cole
So the first question we have is will these notes be stored in the chat or will they be stored somewhere else? So these notes are going to be stored in the chat. So if you go into the channel and you click on the meeting, the notes are going to show up on the right hand side. And they’re going to be stored in that chat.
00:10:26 Joe Cole
So that’s where they’re going to be stored.
00:10:29 Joe Cole
Let’s see.
00:10:30 Joe Cole
Another question we have is can you access these notes after the meeting? Yes, you can. So you’re going to be able to go into the channel, click on the meeting and see the notes that were taken in real time. So that’s cool.
00:10:43 Joe Cole
Alright, let’s see if we have any other questions.
00:10:46 Joe Cole
It doesn’t look like we have any other questions.
00:10:49 Joe Cole
So if you have any other questions, feel free to ask.
00:10:52 Joe Cole
I’ll be here.
00:10:53 Joe Cole
But that’s all I had on the main topics.
00:10:55 Joe Cole
So I think we can wrap it up.
00:10:57 Joe Cole
Thanks for joining everyone.
00:10:59 Joe Cole
And we’ll see you next time.
